What does "adherence" mean, and how is it worked out?
Adherence compares the productive time someone actually logged against what their schedule planned for them. A grace window forgives being a few minutes early or late.
Adherence is one number: how much of someone's planned productive time they actually spent being productive, in the right block. It answers "did they work when they were supposed to", nothing more.
How the number is worked out
For each day, we add up how many minutes were scheduled as productive work, and how many of the minutes someone actually logged in a productive status fell inside one of those scheduled blocks. Adherence is the second number divided by the first, as a percentage.
A few things that surprise people:
- Taking a scheduled break doesn't hurt your score. Breaks and lunch aren't counted as planned productive time in the first place, so taking them when they're supposed to happen costs nothing. Taking one at the wrong time does cost you indirectly: it's productive time you didn't spend when you were meant to.
- Different working statuses count toward the same bucket. If your organization has more than one status that counts as productive work, time spent in any of them during a scheduled work block still counts as on-plan. Training is treated differently: it only counts as adherent if it happens inside a block that was itself scheduled as training, not inside an ordinary work block.
- A shift still in progress doesn't count yet. Only finished stretches of time are scored, so an open shift doesn't move the number until it ends.
- No schedule means no score, not a 0%. If nobody scheduled any productive time for that person on that day, adherence shows as a dash, never a fabricated zero. A day where time WAS scheduled and none of it was logged is a real, earned 0%.
The grace window
Every scheduled block gets a few minutes of tolerance on both ends, so clocking back in from lunch a couple of minutes late doesn't mark you down. To change it:
- Open Team management, then Schedules.
- Scroll to "Grace window for adherence" (only visible to admins).
- Set the number of minutes, from 0 to 30, and click Save.
Setting it to 0 scores to the exact minute, with no tolerance either side. This one setting applies to everyone in your organization.
Where you see it
Adherence shows as a colour-graded percentage on the Team time tab (open a person to see their day) and on the weekly report: green at 85% and above, amber from 70% up to 85%, and red below that.
