How do I set what hours my team is supposed to work?

Build a named weekly schedule with real clock times, then assign it to whoever should follow it. Anyone without one follows your organization's default.

A weekly schedule is a named set of time blocks, like "9 to 5, Monday to Friday", that you build once and assign to whoever should follow it. It's what the rest of Team management measures everyone's actual time against.

Build a schedule

  1. Open Team management, then Schedules.
  2. Click New schedule and give it a name, like "Weekday 9 to 5".
  3. Pick the "Every day" tab to lay down a pattern that applies to every weekday, or pick a specific day's tab to give that day its own blocks instead. A day with its own blocks ignores the "every day" pattern entirely rather than adding to it, so build either a shared pattern or a day-by-day one, not both for the same day.
  4. Click Add a block, then set its status (Working, Break, Lunch, and so on), a short name, and a start and end time.
  5. Use Copy Monday to Tue-Fri, or Copy Monday to all 7 days, to fill the rest of the week from whatever you've built on Monday, instead of repeating the same blocks by hand.
  6. Click Create schedule. It's saved and appears in your schedule list immediately.

A day left with no blocks at all is a day off. If you want a schedule to run in a different timezone than your organization's own, for a remote team for example, type it into the Timezone box instead of leaving it blank.

Assign it to your team

In the "Who is on which schedule" table below the schedule list, pick a schedule for each person, or leave it on "Organization default" to have them follow whichever schedule you've marked as the default. You can also set a start date and an end date for the assignment, for example when someone's hours are changing for a set period, rather than clearing the row entirely.

Set the organization default

Click Set as default on any schedule to make it the fallback for everyone without their own assignment. Only one schedule can be the default at a time; setting a new one clears it from the old one automatically.

Changing or deleting a schedule

Editing a schedule's blocks changes what everyone assigned to it is measured against going forward; it doesn't touch anything already logged. Deleting a schedule moves everyone who was on it back to the organization default, and this can't be undone.
