What happens when I run out of seats?
Every plan includes a certain number of people, shown at the top of your Team page. Once you hit it, inviting or accepting stops until you free a seat, buy an extra one, or upgrade.
Your plan sets how many people can be on your account at once. Your Team members page shows exactly how many you have used, right under the page title, so you never have to guess how close you are.
How your seat count is worked out
A used seat is either a person already on the account or an invitation you have sent that nobody has accepted yet. That second part matters: sending out five invitations uses five seats immediately, even before anyone clicks anything, so you cannot invite more people than you have room for and then have them all accept at once. Cancelling an invitation nobody accepted frees its seat straight away.
If your trial has ended without going live, your account is on the free plan, which includes exactly one seat.
What happens when you are full
The Invite member button switches itself off and tells you why. From there you have three ways forward:
- Cancel an invitation nobody has accepted, freeing its seat immediately.
- Buy an extra seat, if your account offers this. An Extra seats card appears on your Team page showing the price per seat per month and lets you add or remove one at a time; a removed seat cannot go below however many people are actually using it right now.
- Upgrade your plan, from the Upgrade plan button on the warning banner, which takes you to How do I change my plan? A bigger plan raises how many people you can have.
Nobody already on your account is ever removed for going over a limit that later drops, existing members always keep their access.

More in Your team
The other guides people read alongside this one.
- How do I invite someone to my team?
Send them an email invite with a role attached. They get seven days to accept, and you can resend or cancel it any time before then.
- What can an Administrator do that an Advisor cannot?
Administrators have full access including billing and removing people. Advisors handle conversations and contacts but cannot touch billing, settings or the team list.
- How do I remove someone who has left?
Remove them from your Team members page. It deletes their sign-in for good, frees their seat, and cannot be undone, though the conversations they handled stay in your inbox.
- How do I update my own profile, and control what I get notified about?
Change your name, password or email from Account, then Profile. Two-factor sign-in, your active sessions and account deletion live under the Security tab there. Notifications live in their own screen with an optional push toggle.
