What happens when I run out of seats?

Your plan sets how many people can be on your account at once. Your Team members page shows exactly how many you have used, right under the page title, so you never have to guess how close you are.

How your seat count is worked out

A used seat is either a person already on the account or an invitation you have sent that nobody has accepted yet. That second part matters: sending out five invitations uses five seats immediately, even before anyone clicks anything, so you cannot invite more people than you have room for and then have them all accept at once. Cancelling an invitation nobody accepted frees its seat straight away.

The free plan is one seat

When your trial ends without going live, or your paid plan ends, your account moves to the free plan, which includes exactly one seat. That seat is the account owner's: the first administrator on the account. Your Team page counts against that one seat, whatever plan you had before, so it reads, for example, "3 of 1 seats used" until you upgrade.

Everyone else on the account is paused, not removed:

• They stay on your Team page, marked Paused.
• They cannot sign in to this business, and nobody can switch into it from another business. If they also work in another business on Peakify, they keep signing in there.
• Nothing new is handed to them here: no conversations, bookings, tasks or alerts. Anything that was open in their name goes back to unassigned, so you can pick it up.

When you upgrade, everyone who was paused comes back straight away, with the inboxes, teams, roles and schedules they had before.

If someone you invited tries to join while you are on the free plan, they are told the business has no free seat and to ask the owner to upgrade. Their invitation link is not used up, so it works again once you upgrade.

What happens when you are full

The Invite member button switches itself off and tells you why. From there you have three ways forward:

1. Cancel an invitation nobody has accepted, freeing its seat immediately.
2. Buy an extra seat, if your account offers this. An Extra seats card appears on your Team page showing the price per seat per month and lets you add or remove one at a time; a removed seat cannot go below however many people are actually using it right now.
3. Upgrade your plan, from the Upgrade plan button on the warning banner, which takes you to How do I change my plan? A bigger plan raises how many people you can have.

If you move to a plan with fewer seats than you have people, the confirm box warns you first. You can still go ahead, nobody is removed, but you cannot invite anyone new until your team fits.

On a paid plan, nobody already on your account is removed or paused for going over a limit that later drops. Only the free plan pauses people, as described above.
