How do I let customers choose who they see?
Switch on "Let customers choose who does the job" and your booking page asks for a person first, then offers only that person's own working hours.
Most businesses never need this. One number for the whole shop is enough when the customer does not mind who turns up. Switch this on when the person IS the booking: a salon, a clinic, anywhere somebody rings up and asks for Sarah.
Switch it on
Open Calendar, then the Booking settings tab, and tick "Let customers choose who does the job". It is part of the Pro and Scale plans. On the Starter plan the tick box is greyed out and your bookings keep using one capacity number for the whole business.
Turning it back off is always allowed, whatever your plan. Everything else on that screen is covered in How do I set up online booking?.
Everyone who can be booked needs weekly hours first
This is the part that catches people out, so it is worth reading twice.
Once the setting is on, your booking page stops using the shop's capacity number and starts using each person's own working hours. Those hours come from the weekly schedules you already keep for your team, under TMS, then the Schedules tab. Somebody with no schedule has no hours, so nobody can book them, and if nobody on the team has a schedule your booking page says you are not taking bookings yet.
So the order is: set up a weekly schedule, put your people on it, then switch this on.
Only the blocks marked as working count. A block set to break, lunch or training is time your team is on the clock but not time a customer can take.
Book somebody off
The Time off card sits just under the setting, on the same screen.
- Choose the person.
- Put in the first day they are away and the last day they are away. The last day counts as a day off too, so for a single day put the same date twice.
- Add a note if you want one. It is for you, and a customer never sees it.
- Press Add time off.
Whole days only. For half a day, book the morning out yourself and leave the afternoon open.
They stop being offered on those days straight away, and they go back on the diary the moment you press Remove.
Bookings they already have are left exactly where they are. Booking somebody off never cancels anything, so if they are away on a day they already have a job, you still need to move or cancel that job yourself.
What your customer sees
Your booking page asks who first, then which day, then which time. Everyone with hours is listed with how many times they have open.
Somebody who is fully booked or away for the whole fortnight is still on the list, greyed out, saying no open times. That is deliberate: a customer looking for Sarah should learn Sarah is busy, not think she has left.
There is no "anybody will do" option. When customers are choosing people, they choose.
If somebody leaves the team
Remove them in Team members as usual. Any job they were booked for is kept, and it shows on your calendar as "Needs a person" so nothing quietly disappears. Ring the customer and put the job in somebody else's name. See Where do I see everything that is booked?.
