Where do I see everything that is booked?
The Calendar screen lists every appointment your business holds, whoever made it, with who is coming and who is doing the job.
Open Calendar in the left sidebar. Every appointment your business holds is there, in one list, in your own timezone. It does not matter whether a customer booked it themselves, your AI took it on a call, or somebody on your team added it by hand.
The three views
The tabs across the top split the list by what has happened to each booking.
- Coming up. Everything still to come that has not been called off. Newest job first, so the next one you have to turn up to is at the top. Bookings for today and tomorrow are labelled as such above the date.
- Been and gone. Everything whose finish time has passed. A booking moves here on its own, you do not close it.
- Cancelled. Bookings a customer or your team called off. They stay here for the record, and the time went back on offer the moment it happened.
The list loads twenty five at a time with a Load more button underneath, so a busy year never slows the screen down.
What each row tells you
- When. The date, the start time and the finish time, always in your business's timezone. Somebody checking tomorrow's jobs from another province still sees the hour the customer will be standing there.
- Who. The customer's name, and their phone number as a link you can press to ring them. If the booking is attached to a contact, the name opens that contact.
- Who is doing it. A person's name when one is assigned, or "Anyone free" when the job goes to whoever is available.
- How it was booked. Added by your team, Booked online, Booked by your AI, or Booked on a call.
- Status. Booked, Done, No show or Cancelled.
When a row says "Needs a person"
That booking belonged to somebody who has since been removed from your team. The appointment is kept on purpose rather than quietly dropped, because the customer is still expecting you. Ring them or give the job to somebody else.
If the list is empty and you were expecting bookings
Check the Booking settings tab. Until you say how many jobs you can run at once, your booking page will not offer a single time and your AI cannot take one either, so an empty calendar can mean nobody could reach you rather than nobody tried. See How do I set up online booking?.
Who can see it
Anyone on your team with the admin or advisor role. An advisor is often the person who turns up to the job, so hiding the list from them would stop the work getting done. Changing the settings behind it is admin only.

Click Settings in the sidebar, it opens into a list of areas, click the one you need.

Go to Settings, then General, update whatever's changed and press Save changes. Your logo, brand colour and contact details are what your customers see on the emails you send them. Only admins can save.
- How do I set my timezone and business hours?
Set them on the General tab. Your AI assistant and your scheduling tools both use these to know when you're actually open.
- How do I give my customers a link to sign in and see their documents?
Claim a short web address under General. Depending on your plan, that address becomes the one page your customers use to ask for a link, either a sign-in link or a link to their own progress.
