How do I claim a task from my workspace, and finish it?

Claim a task from your ranked list, work it with the timer running, then complete it with a note or send it back.

Your task list on the Workspace tab is where you pick up work. Claiming a task starts your timer and pulls that customer's conversation and record onto your screen, completing or returning it hands it off and clears the way for the next one.

Claim a task

  1. Open TMS, then the Workspace tab.
  2. Click Claim Task on a card in your list.
  3. It becomes your active task straight away: your task list tucks itself out of the way, and the conversation, the customer's record and your controls fill in with this customer's details. The clock in your controls starts counting automatically, you don't start it yourself.

If you were already on a break, at lunch, in training or another status when you claim, Peakify checks first. You'll see a message like "You're on Break. End it and start working on this task?", confirm it and your break ends and your working time starts. Depending on your account, your organization may instead require you to end that status yourself from your AUX control before you're allowed to claim, in which case you'll be told so plainly rather than left guessing.

All and Overdue

Above your list, All and Overdue chips show how many tasks are in each. A task counts as overdue when it's past its own due date, or when the customer hasn't been touched in more than 48 hours, the same 48-hour mark that turns the "Last touched" chip on a card red (it turns amber after 24 hours).

If you can't claim another one

Depending on your account, your organization sets how many tasks you may hold claimed at once, often just one. If you're at that limit, finish or return your current task before claiming another.

If someone else got there first

Occasionally two people click the same task at once. If you lose that race, you'll see "Could not claim task", and the list refreshes with that task removed, since it's no longer available.

Finish a task

  1. In your controls, write what you did and what happens next in the Add Notes box, it's required.
  2. Click Complete Task.

It saves that note against the customer's record, and moves them on to the next stage of your pipeline automatically if your organization has that set up. Your task list refreshes and the screen clears for your next pick.

Send it back instead

Click Return to Queue, then pick a reason: Client not ready, Client isn't answering, Needs an admin to step in, Wrong person for this, or Other. The task goes back into the pool for someone (possibly you again later) to pick up.

If you forget about a claimed task

If a claimed task sits untouched too long, your organization's settings decide exactly how long, Peakify releases it back into the pool by itself. This kind of automatic release is recorded separately from a return you choose yourself, it is never counted against you the way a return you picked is.
