How do I ask a client for documents, and review what they send?

Request documents from a client's record in your workspace, then approve or reject what comes back from the Documents tab.

Getting documents from a client and reviewing them is two separate steps in two different places: you ask for them from the client's own record, and you approve or reject what comes in from the Documents tab.

Ask a client for documents

  1. In your workspace, open that customer's record, then their Files tab.
  2. Click Request documents.
  3. Tick which kinds of document you need.
  4. Add a message if you want to explain anything extra.
  5. Send it.

The client gets a secure link by email, no account needed on their end. It's valid for a limited time, your organization sets exactly how long.

You can't upload a file on their behalf

Right now, only the customer can upload a file, using the secure link Peakify sends them. There's no button for a staff member to upload a document into their file directly yet. If a client can't manage the link themselves, resend it, or ask them to send the file another way and handle it manually for now.

If a link expires or a client says they never got it, open their Files tab and click "Send a fresh link" next to that request.

Review what comes in

  1. Open TMS, then the Documents tab.
  2. You land on Pending review, the documents waiting for a decision, oldest first, across every customer.
  3. Click a file's name to open and check it.
  4. Add a note if it's useful for the record.
  5. Click Approve or Reject.

Your decision is saved immediately, and the document moves into the Approved or Rejected tab, where you can find it again any time.
