How do I add something to my knowledge base by hand?
Write an entry directly, or paste text and let AI turn it into organized entries for you to review before saving.
There are two ways to add knowledge yourself without a website to crawl or a file to upload: type an entry directly, or paste a block of text and let AI structure it into entries for you. Both need your organization's admin, if you only have view access, you can still flag a gap, see below.
Write an entry directly
- Go to Knowledge Base and click Add Entry.
- Give it a Title, a Category (services, pricing, FAQ, policies or about), and the Content itself, whatever you want your AI to know.
- Click Create. It is active immediately, the AI can use it on the very next conversation.
Paste text and let AI format it
Useful when you have a page of text, an old FAQ document or a services list, but no website to crawl.
- Go to Knowledge Base and click Format With AI.
- Paste your content, up to about 24,000 characters. Anything longer is cut off and flagged so you know to split it into more than one import.
- Click Format with AI. It reads what you pasted and proposes a set of entries with titles and categories.
- Review each proposed entry. Edit the title, category or content of any of them, or remove ones you do not want.
- Click Save. Your reviewed entries are added to your knowledge base.
The AI preserves your prices, names and numbers exactly as you wrote them, it structures your content, it does not invent or change facts.
Turn an entry on or off, or delete it
Every entry has a power icon to disable it without deleting it, useful for something seasonal, a pencil to edit it, and a trash icon to remove it for good. A disabled entry is greyed out in your list and the AI stops using it until you turn it back on.
If you can only view the knowledge base
Advisors and platform support see a read-only knowledge base. If something is missing or wrong, click Flag a gap to tell your admin, they will see it in the audit log.

More in Teaching the AI
The other guides people read alongside this one.
- What is my knowledge base, and why does the AI need it?
Your knowledge base is your own business information, services, prices, hours and policies, that teaches your AI assistant how to answer your customers. It is not our help articles.
- How do I bring in everything from my website?
Peakify reads your public pages and turns them into knowledge base entries automatically, and checks your site again once a week on its own.
- How do I upload a document to my knowledge base?
Drop in a PDF, Word doc, text or markdown file, up to five at a time, and review the entries before they save.
- How do I split a long knowledge base entry into smaller ones?
Break one long article into several focused entries along its own section headings, in one click.
