How do I set up what a client sees when I ask them to pay?

Add a pay link and/or bank details, plus a default subject and message. Clients only ever see the payment details on a secure page, never inside the request email itself.

Payment instructions are what a client sees once they open a payment request from you, your pay link and/or bank or e-transfer details, along with the default wording the request email itself uses.

Set it up

  1. Open Team management, then Setup, then the Payment instructions tab.
  2. Add a pay link if you have one from your payment provider.
  3. Add your bank or e-transfer details if you take payments that way. This text is shown to a client only on a secure payment page after they open the request, it's never included in the request email itself.
  4. Set a default subject and message for the request email, using placeholders like the client's first name, your organization's name, the amount, and the payment link.
  5. Click Save. Every save is logged, and your organization's owner is notified separately whenever these details change.

A fraud safeguard worth knowing

Because every change here is logged and the owner is told about it separately, an email claiming to update your bank details that didn't come through this screen is a red flag, not a real change. Never update payment details based on an email alone.

Who can do this

Managing payment instructions needs an organization admin and an account with Team management turned on.
