How do I set up the statuses my team can switch between?
Rename, recolour, reorder or add your own statuses. The five built-in ones (Available, Working, Break, Lunch, Training) can't be retired, but you can add your own and retire those later.
AUX statuses are what a team member switches between during their shift, Working, Break, Lunch, and whatever else you set up. This article is about configuring them as an admin; what they look like for a team member using one day to day is covered elsewhere in the Team management guides.
The starter set
A new organization is given a starter set of statuses automatically: Available, Working, Break, Lunch, Training, and one extra "Admin / Back-office" style status you can rename or retire freely. If you ever open this tab and see none at all, the automatic setup step for your organization didn't finish; a one-click "Add the starter statuses" button puts them back safely, and it can never duplicate or overwrite one you already have.
Five of them can't be retired
Available, Working, Break, Lunch and Training are built-in: the underlying system relies on those five by name to run breaks, time limits and automatic clean-up correctly, so they can be renamed and recoloured but never retired or deleted. Every other status, including the starter "Admin / Back-office" one and anything you add yourself, can be retired at any time.
Add or edit a status
- Open Team management, then Setup, then the AUX modes tab.
- To edit one, click Edit on its card. To add a new one, click "Add an AUX mode" at the bottom.
- Set its name, type (productive, break, or offline), colour and icon.
- Set whether it counts as productive time in reports, and whether it's paid time.
- Optionally set a usual length in minutes, and advisory caps: how many times a day and how many minutes a week. These are a guide, not a lock: going over one is still allowed and is recorded and shown on your team reports, so nobody gets stuck because a button stopped working.
- Save. A status's internal name is set the first time you save it and never changes again, even if you rename its label later, so old records still make sense.
What changing one does to existing data and to adherence
- Renaming or recolouring is safe and shows up everywhere immediately, including on time already logged. Nothing about the history changes.
- Retiring a status keeps every past record exactly as it was; it just disappears from the picker your team chooses from going forward. A schedule block that already used a retired status still shows it, marked "(retired)", rather than silently switching to something else.
- Turning "counts as productive" on or off changes how future time in that status is scored for adherence and reports; it doesn't rewrite anything already scored.
- Reordering only changes the order statuses appear in the picker your team uses; it doesn't affect scoring at all.

Configuring AUX statuses needs an organization admin and an account with Team management turned on.
