How does the AI decide which steps and jobs to draft for my journey?

When you tailor your journey, the AI only marks a job as its own if it can really do it. Anything else stays with your team, and money and contracts always wait for a person.

When you click "Tailor it to my business", the AI drafts your journey for you to review. Nothing changes until you read the draft and publish it. The same rules apply when you ask for "Suggest jobs" on a single step.

Which jobs the AI takes on

The AI is only allowed to take on a job when it can really do that job. For each job it marks as its own, it picks one thing from the list of things the AI can really do. If nothing on that list fits, the job stays with your team.

  • Work it can write for you to check: the AI writes a first draft, such as a summary, a call plan or a quote, and your team checks it. Nothing is sent to your customer.
  • A message to your customer: a welcome, a reminder, a check-in, a report or a request for a review is drafted as a message. A job can be marked "AI does it", and a person still approves each message until the AI has earned the right to send on its own.
  • Money and contracts: these are always drafted for you, and a person always approves them. The AI never sends a payment request or a contract on its own.
  • Anything only a person can do: the AI is told to leave live calls and meetings, visits, deliveries, signatures, confirming that a payment came in, and refunds to your team. Check those jobs before you publish, and change any the draft got wrong.

If the AI names something it cannot really do, you will see that job as "AI drafts, person checks" instead, writing the work for your team. You can change any job before you publish.

It fits the kind of work you do

Before it drafts, the AI decides which of five kinds of work your journey runs, from your business details, what you have written down and the service. You never pick one, and it is not saved anywhere.

  • A one-off piece of work: one job with a start and an end.
  • The same work done again every week, month or year: work that comes round on a schedule.
  • Work that goes to an outside party who decides: you send it somewhere and wait for an answer, such as a permit office or a lender.
  • A programme or group that runs on a schedule: people join a programme or a group.
  • A person who is not buying anything: a church guest, for example. Selling words such as proposal, payment or contract are kept out of this journey.

Our standard list of steps has some steps that only suit certain kinds of work. "Submitted", "Awaiting outcome" and "Outcome recorded" only make sense when an outside party decides. If the AI leaves one of these steps alone and it does not fit the kind of work it picked, the step comes back crossed out with a short reason, such as "Doesn't fit a one-off piece of work." To put it back, click "Keep this step". A step you wrote yourself, or one the AI renamed or kept on purpose, is never crossed out this way. When you ask the AI to revise a draft you already have, it does not cross out steps on its own. If crossing out every step that does not fit would leave a journey that is too short or has no steps on one side of "they say yes", none are crossed out and you decide.

When your work waits on someone outside, such as a city permit office, a lender or an insurer, the draft marks those jobs as waits. A wait names who you are waiting on, is done by a person, and is hidden from your customer. Check them before you publish, like any other job.

When we tell you something is missing

Before you draft, the Journey screen can show a "Before you draft" box. It only appears when there is something worth fixing, and only admins see it.

  • A service has nothing written about it. The box names each service that has no description and no guidance for the AI, and says the draft can only guess from the name. To fix it, open Settings, then Services, add what the service is and how it runs, then draft again. The link in the box takes you straight there. This line shows on every plan.
  • Several services share your main journey. The box lists the services that use it and suggests that one which runs differently from the others gets a journey of its own. To do that, pick it under "Which service is this journey for?" and draft it a journey of its own. This line shows only on plans with journeys per service.

When a service has nothing written about it, the AI is also told not to invent details, so it drafts from the service name and what you have written down. When you draft the main journey and sell two or more services, it is told to keep to the steps those services share. If everything is filled in, no box appears.
