How do I make a job finish itself when the customer books?
Turn on "Done when the customer books" on a job and it is marked done as soon as that customer books an appointment, in a chat or text, on a call with your AI, or on your booking page. The next step opens on its own.
Some jobs are really "get this customer booked in": book the consultation, book the site visit, book the fitting. Instead of asking your team to tick the job off by hand, you can let the booking finish it.
Turn it on
- Open TMS, then Setup, then the Journey tab, and click "Edit journey".
- Open the job.
- Turn on Done when the customer books.
- Publish the journey.
This is on Pro and up. The switch is off for every job until you turn it on.
What happens when they book
It works the same whichever way the customer books: in a chat or text, on a call with your AI, or on your booking page. When they do:
- the job is marked done,
- the customer's Timeline reads "The customer booked an appointment",
- the next step opens, and
- if the AI had an invite for this job waiting for your review, it is closed.
If they booked before the step opened
The job finishes the moment the step opens, as long as that booking is still coming up. A booking that has already passed does not count.
One booking finishes one job
Each booking finishes one job, the customer's oldest open job with this switch on. If a step has two such jobs, the customer needs two bookings.
Cancelled or missed bookings
If the customer cancels or does not turn up, the job stays done and the customer moves on. When a customer cancels, you get a notice in the bell, and you can send them your booking link. When you mark a booking as missed, an "Appointment missed" automation can send them a rebook message.
When it never finishes a job
The job is left for your team when:
- the booking has no customer record,
- the booking is cancelled or already in the past,
- the job asks for documents, a form, a payment or a signature,
- the job waits on someone outside, or
- the job needs the customer's sign-off.
For a job that asks for something or waits on someone outside, the switch is not shown. A job that needs the customer's sign-off is finished by that sign-off, even when the switch is on.
The AI never finishes a job with this switch on from a chat or text, even if the customer says they have booked: only the booking itself finishes it.

More in Team management: setting it up
The other guides people read alongside this one.
- How do I turn on Team management, and what does it actually add?
Team management adds a shared workspace for your staff: your customer journey, tasks and a queue of work to hand out, plus time tracking and schedules on Pro and up. What you get depends on your plan.
- What's the difference between a "pipeline" and the "customer journey"?
A pipeline is the general idea of stages a contact moves through. The customer journey is your main pipeline, the one new contacts start in, and it also creates tasks automatically and marks when a lead becomes a customer.
- How do I set up a pipeline for how my customers move through my business?
Create a pipeline, then open it in the journey editor to add the steps your work actually goes through and the jobs your team does at each one. Publish, and it is live.
- How do I set up my customer journey?
We draft a set of steps for your business with AI, and you review and edit every one before anything is installed. You can tailor it again at any time, and we say plainly what reaches the customers who are already in it.
