How do I ask the AI Workspace about my own business, or about one client?

Switch between a general chat about your business and a chat pinned to one client, using the context button at the top of the chat.

Every chat in the AI Workspace is pinned to one of two things: your business in general, or one specific client. You choose which with the button at the top left of the chat, it shows the current context (for example "General") with a small arrow next to it.

Ask a general question

  1. Make sure the button at the top reads General. If it shows a client's name instead, click it, then click "General (business-wide)".
  2. Type your question in the box at the bottom, something like "What are my busiest days for calls?" or "Draft a short proposal outline."
  3. Press Enter, or click the send button.

General questions are answered using your business profile: your business name, type, tone of voice, any must-say phrases you've set, and the general shape of your knowledge base (which categories you have and how many entries are in each). It does not read your full FAQ answers back to you here, it's helping you think, not repeating your own content.

Ask about one client

  1. Click the context button at the top.
  2. In the "Switch chat context" window, search for the client by name or phone number.
  3. Click their name.

The chat now knows about that one client: their contact details, custom fields, where they are in your pipeline and how they got there, their open tasks, their last few messages, and your team's recent notes on them. Each context keeps its own separate history of chats, switching back to General later shows your general conversation, not the client one.

Quick actions

Under the message box you'll see a row of quick action buttons: Summarize client, What's outstanding, Draft reply, Draft document and Suggest tasks. The first four, other than Draft document, only appear once you've picked a client, since they don't make sense without one. Click one to run it immediately, without typing anything yourself.

The prompt library

Click the book icon next to New chat to open a drawer of ready-made questions, grouped by category (Client work, Writing, Planning and more). If your account is set up for a particular kind of business, like recruitment or accounting, you'll see some extra prompts written for that work. Click one to drop it into your message box, edit it if you like, then send. A prompt that only makes sense with a client picked is greyed out until you pick one.

Ask with your voice instead of typing

Depending on your account, you may see a microphone button next to send. Click it, speak your question, then click it again to stop. What you said is turned into text and added to whatever you'd already typed, it never erases what you had. There's a limit of a few thousand characters per recording, if you go past it the extra is simply not added.

Admin insights

If you're an admin and your account has this turned on, you'll see a bar chart icon next to New chat. Click it to ask questions about your whole organization's numbers, contacts, tasks, open conversations, and (if you use the task queue) what your team is working on. Every answer here comes from the same real, counted numbers your reports use, it never estimates or makes up a figure.
