How do I get a customer to sign an agreement?

Attach your agreement to an "Ask to sign" job. When a customer reaches that step we email them to sign in to their portal, read it, type their name and agree, and we keep a record of exactly what they signed.

An "Ask to sign" job carries your agreement, as a PDF. When a customer reaches that step, we email them to sign in to their customer portal, read the agreement and sign it by typing their name. You never send it by hand, and you keep a record of exactly what each customer signed.

Add an agreement to a job

  1. Open your journey in the journey editor.
  2. Under the step where the customer should sign, click Add, then Ask to sign.
  3. Upload your agreement. It must be a PDF of 4 MB or less; a Word file or anything else is refused, so save it as a PDF first.
  4. Publish the journey. From then on, every customer who reaches that step is asked to sign.

Customers already standing at that step are not asked until you choose to send it to them too, the same as a job that asks for documents.

What your customer gets

  1. An email saying you have an agreement for them to review and sign, with a link to their status page.
  2. If they have never signed in to your customer portal, a separate email inviting them in. Someone who already has a sign-in is not invited again.
  3. On their status page, a row "Sign in to review and sign" that takes them to the portal sign-in. The status page never shows or downloads the file itself, because anyone holding that link could open it.
  4. In the portal, their home page lists the agreement with a Sign button. They open or download it, tick that they agree to sign electronically, type their full name and press I agree. That finishes the job, the next step of their journey opens, and we email them a copy of what they signed with the PDF attached. Their signed copy stays on that page in the portal, and under Signed agreements on their portal Documents tab, where they can download it any time.

What we keep

For every signature we keep the name they typed, the exact consent wording they agreed to, when they signed, the email they were signed in with, a scrambled form of their internet address (a hash, never the address itself), and a copy of the exact file with a fingerprint of it. Replacing the agreement on the job later never changes what an earlier customer signed.

See and print a signing record

  1. Open the customer's record and go to the Documents tab.
  2. Under Signed agreements, click View record next to the agreement.
  3. The record shows who signed, the name they typed, the consent wording, the exact time, the scrambled internet address, the file name and its fingerprint (SHA-256).
  4. Click Download signed copy for the exact file they signed, or Print to keep a paper or PDF copy of the record.

Signing records are visible to organization admins.

That record stays even if you delete the customer, or they are emptied from the recycle bin. It is removed only when your Peakify account itself is closed.

When we do not ask

  • No email on file. Nothing is sent. The job gets a comment from Peakify that says "No email on file. Get this signed in person."
  • Their email address bounced, or they marked one of your emails as spam. Nothing is sent. The job gets a comment from Peakify saying we cannot email them, so your team can get it signed in person.
  • You removed their portal access. We never invite them back on our own. The job gets a comment saying so, and you can sign it in person or invite them again from their record.
  • Your business has no portal address yet. Nothing is sent, and the job gets a comment pointing you to Settings, then General, to set one.
  • The job has no agreement attached. It works as it always has: the customer sees a Confirm button on their status page, which records that they confirmed the step and does not finish the job.
  • The agreement file cannot be checked. If the stored file is not the one you uploaded, signing is refused and nothing is recorded. Upload the agreement again.

Is a typed signature enough?

Typing a name, with a clear "I agree to sign electronically", is how most service businesses get everyday agreements signed online: quotes, service agreements, terms of work. It is widely accepted for that kind of agreement.

This is not legal advice, and the rules where you work may differ. For a contract that needs a witness, a notary or a formal signing process, use your own signing tool instead.

Who can do this

Asking a customer to sign uses the customer portal, so it is on Pro and up. On Starter the option shows "Available on Pro and up". Setting it up needs an organization admin.
