Adding your knowledge base
Three ways to teach the AI about your business, and what each one is good for.
What the knowledge base is for
The AI answers from what you give it, not from the internet. The knowledge base is what you give it: your services, your prices, your hours, your rules about deposits and cancellations.
If it does not know something, it says so and hands the conversation to you. That is by design. It is better than a confident wrong answer that costs you a customer.
Where to find it
Knowledge Base is in the left-hand menu of your account.
Anyone on your account can read it. Only account administrators can add, change or delete entries. If the buttons are missing, that is why.
Three ways to add content
- Import from Website. We read your own website and turn the pages into entries. Fastest way to start, and the one to do first.
- Format With AI. Paste in a block of text and we split it into tidy entries for you. Good for a services list, a price sheet, or an email you keep re-sending.
- Add Entry. Write one yourself. Good for the awkward questions your website does not answer.
Importing from your website
- Press Import from Website.
- Check the address it shows is the site you want read.
- Press Start crawl and wait. It reads up to 50 pages.
- Look through what it made and fix anything that reads badly.
Website imports and Format With AI share a limit of 5 runs an hour on your account. That is deliberate. If you hit it, wait an hour rather than trying again in a loop.
Writing an entry yourself
- Press Add Entry.
- Give it a plain title, the way a customer would ask. "Do you take same-day jobs" beats "Scheduling policy".
- Pick a category: services, pricing, faq, policies or about. You can leave it as none.
- Write the answer in the content box and press Create.
There is no file upload today. If your answer lives in a document, open it, copy the text, and use Format With AI.
After you save
The entry is live straight away. There is no indexing wait and no publish step. The next conversation can use it.
- Turn an entry off instead of deleting it when a price is about to change. It keeps the wording for later.
- Split a long entry into sections if it has grown into three answers wearing one coat. The AI picks the right one more often when each entry answers one thing.
- Keep an eye on the knowledge gap panel. It shows the questions the AI could not answer, which is a list of the entries you are missing.
Check it worked
Go to Settings, then AI Assistant, and use the Try it panel. Ask the question you just answered and see what comes back.
